Check-Out/Modify Document
Check-Out a file allows user to edit the file. It creates a lock on the file, which prevents other users from overwriting each-others changes. When a file is checked-out, InfoFlo knows to automatically load the software native to it, whether it be a Word, Powerpoint, Excel, Open Office, or any other file. Once you finished working on a file, you can check-in to once again make it available to other users. Users in the workspace will be able to see the very last version of the file that has been checked-in and the current user in control of the file.
Check-In Document
Check-In a file removes the lock on the file. During the check-in process the Version Control console window loads, where a user can create a version label. When a file is checked in, it is available for other users in the Workspace to check-out and edit.
Version Control and Revert
During the check-in process, the Version Control console window loads. The user inputs the new Version Label and adds any comments to the file, which can then be viewed by all shared participants.
Version History
The version history shows all previous versions of a file. In addition the date, name of user who made changes and any comments given to each version is shown. Any previous version can be previewed and/or reverted to as the most recent version.
Sarbanes Oxley
The Document Management Add-On was specifically designed to assist organizations comply with regulations of best practices involving retention of business records such as Sarbanes-Oxley. Therefore, although users may delete files, they remain in the database unless the administrator forcibly deletes them.
